An excellent opportunity has arisen to join a leading global organisation as a Compliance Administrator. This is a key role within the business, supporting the smooth day-to-day running of operations and ensuring compliance standards are consistently met across client portfolios.

Monday – Friday 8.30am – 5pm
15 Month FTC
Stoke on Trent
£26,000 per annum.

Purpose of the Job

The Compliance Administrator plays a key role in maintaining the company’s compliance monitoring system, ensuring all asset certifications and statutory documentation are accurate, up to date, and fully recorded.

This role is responsible for reviewing incoming compliance documentation, validating its accuracy, and uploading it to the CAFM system to ensure clients and internal teams have real-time visibility of compliance status. The position requires strong attention to detail, organisation, and the ability to manage high volumes of information efficiently.

The Compliance Administrator will also log and track any remedial works or defects identified through inspections, tests, or assessments. These will be correctly prioritised and recorded within the system to ensure deadlines and compliance timeframes are met.

In addition, the role will provide support to the Customer Service Centre by assisting with inbound calls during busy periods, ensuring a consistent and professional service is maintained across the business.

Key Responsibilities

Compliance Document Management

Monitor organisational compliance against current legislation and internal policies, ensuring all records remain accurate and up to date.
Manage incoming compliance documentation via shared mailboxes, reviewing, validating, and accurately uploading certificates and related documents to the CAFM system and internal drives.
Ensure documentation is correctly assigned to the relevant Planned Preventative Maintenance (PPM) schedules.
Liaise with suppliers to obtain replacement or missing documentation and request supporting evidence where remedial works have been identified.
Raise and manage remedial action tasks linked to primary compliance PPMs, assigning appropriate priority levels and due dates.
Upload completed remedial certification to associated tasks to maintain a clear and auditable compliance trail.
System Maintenance

Process and categorise compliance documentation within agreed client SLA timeframes.
Conduct regular audits and quality checks of existing records, correcting or updating documentation details where required to ensure data accuracy and integrity.
System Analysis & Reporting

Carry out gap analysis on compliance data to identify risks, improve reporting accuracy, and enhance overall client compliance performance.
Support the Compliance Manager with rotating duties as outlined in the weekly team rota.
Communication & Stakeholder Liaison

Work closely with Regional Property Managers to resolve compliance queries and meet client-specific requirements relating to PPM schedules.
Liaise with supply chain partners to ensure adherence to service level agreements and client compliance standards.
